Communication – A Process

A message forms the NUCLEUS of any communication. The message travels from the sender to the receiver through a series of actions combining to form the communication process.

Please note that a message can be Verbal or Non Verbal and that it gets communicated between two or more persons. The Non Verbal communication takes place through our Body language. It is much quicker and can be equally or sometimes more effective than the normal Verbal communication. For our convenience, let us understand that in Non Verbal communication our facial expressions, gestures, dress code etc. replace the Verbal language as a medium of communication.

The Verbal communication uses language components, like vocabulary and sentences for conveying and receiving a message. The diagram below explains the communication process: -


•    A message forms in the mind of the sender.
•    Gets translated (encoded) into words using a language medium.
•    Gets transmitted through speech or written words. In certain cases through body language.
•    Is intercepted by the receiver and gets decoded (translated/interpreted)
•    The perception motivates the receiver to provide feedback in the form of words (spoken/written) or action.

It is important to note that a message is conveyed and received in accordance with the intelligence and ability of both parties. The process does guarantee the success or failure of any communication. Also it remains incomplete until the receiver is able to provide a FEEDBACK.
The RESPONSE or FEEDBACK alone decides the fate of any communication.
Now the questions arise:
•    Why should any communication fail?
•    How is a message lost, changed or distorted during communication?
•    What are the factors affecting communication?
The factors are several. A few have been mentioned below:-
In Case of Sender
1.    Muddled Thinking.
2.Wrong Choice of Words.
3.Wrong Tone.
4.Language Barrier
5.Generation Gap.
6.Mood of the Communicator (angry, depressed etc.)
7.Wrong Timing.
8.Physical Disability i.e. impaired speech.
9.Speaking too fast specially when talking on phone.
10.Lack of Confidence .
In Case of Receiver
1.External Noise.
2.Muddled state of Mind.
3.Improper or Unreceptive Mood.
4.Generation Gap.
5.Lack of faith in the speaker.
6.Language Barrier.
7.Over Presumption (presuming before listening-a very strong and common communication barrier)
8.Intelligence and Literacy level.
9.Mental block against certain communication instructions etc.
10Personal Bias.
These factors and many others can severely affect or impair communication of any type.
Factors that help Communication
•    Mutual Faith
•    Cordial Environment
•    Proper choice of words, tone etc.
•    Proper timing and place
•    Familiar dialect/language
•    Patient and careful listening etc.
They aid to bring about a purposeful, successful and satisfactory
CONCLUSION
We must understand that communication is an ongoing and ever evolving process. It requires constant learning, modification and assimilation of new ideas. Newer techniques keep developing. New information is generated every moment. Keeping abreast with the latest information and techniques is vital for good communication.
To communicate one requires adjustment pertaining to situation, time, place and person. This exercise is vital in order to get back Favorable Feedback, which after all is the ultimate objective of any interaction.
